We may collect the following categories of personal information: (a) Contact information, including your name, email address, phone number, and mailing address when you submit a booking or contact form; (b) Appointment details, including the type of notarial service requested, document descriptions, and preferred appointment time; (c) Identity verification information, as required by Oregon law (ORS Chapter 194) to perform notarial acts, including government-issued identification document information; (d) Technical data, including your IP address, browser type, pages visited, and referring URLs, collected automatically through cookies and server logs.

 

3. How We Use Your Information 

We use the information we collect to: schedule and fulfill notarial service appointments; verify signer identity as required by Oregon notary law; communicate with you about your appointment or inquiry; maintain notary journal records as required by ORS 194.270; improve our website and services; and comply with applicable legal obligations. We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

 

4. Remote Online Notarization (RON) and Identity Verification

For Remote Online Notarization sessions, identity verification is conducted through an Oregon-approved RON platform that uses knowledge-based authentication (KBA) and credential analysis. Audio-visual recordings of RON sessions are retained as required by Oregon law for a period of no less than ten (10) years. These records may be disclosed to law enforcement or courts pursuant to a valid legal process.

 

5. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Policy and to comply with Oregon notary recordkeeping requirements. Notary journal entries and RON session recordings are retained as required by applicable law.

 

6. Cookies

Our Site may use cookies and similar tracking technologies to enhance user experience and analyze traffic. You may disable cookies in your browser settings; however, some features of the Site may not function properly without them.

 

7. Third-Party Services

We may use third-party service providers, including Wix (website hosting and booking platform) and Oregon-approved RON technology platforms, that have access to certain personal data solely to perform services on our behalf. These providers are contractually obligated to protect your data.
